There are no exceptions for any late or unaccounted for adults, they will be charged the full price of $28.00 for entry and $3.00 for a train ride - ensure this is communicated to all parents. If they do pay separately they must mention they are with a group to receive the correct wristband. 3. All adults/teachers are responsible for the behavior of their children. You must ensure that Butterfly Creek facilities are not left in an abused or damaged condition. Any damage to Butterfly Creek property will be charged to the group who can then take the matter up with the person/s responsible. 4. Groups are seen as a ‘Special Promotion’ – no membership pass /specials coupons/vouchers can be used on a visit. 5. Valuables should not be left in the bag storage room - Butterfly Creek is not responsible for lost or stolen items. 6. Use of the picnic tables by the playground are for people who have purchased from Papillon Bar & Café. We make an exception for educational groups – children are permitted to bring their own packed lunch. We encourage healthy eating at Butterfly Creek, fast food or takeaways are not permitted to be brought in during school trips. 7. On the day your group is welcomed and will be given guidance & rules etc. from our group co-ordinator, please see our website to download rules, risk management and trip planning information. We offer a discounted rate of $2pp for public train tickets which you can purchase on the day. Your deposit will be deducted from the final balance. Your booking is not confirmed until the deposit has been paid. • Booking: Please make your booking with us prior to arranging transport or bus companies and confirming with parents as we would like to ensure that your selected booking date and time are secured for you before you commit to further resources. Booking are essential to receive educational discounts. Bookings must be during the week. Monday to Friday. Cancellation: If you need to cancel your group booking, we require a minimum of 72 hours' notice to ensure that you receive a 95% refund of your deposit. If a cancellation is received after this period then we reserve the right to invoice the group so as to recover the additional staffing costs. Should this charge occur, it is $8.00 per person to a maximum of $200.00 per group. If the course is closed due to inclement weather, this will not be charged. • Amendments: You can amend your booking up to 5 participants (additional or less). If there is an amendment of more than 5 participants, we will of course do our very best to accommodate them, however, we cannot guarantee that they will be accommodated for on the day and we have the right to refuse the additional participants. • Groups must pre-pay or arrange to pay the balance on the day of the visit. One payment per group. An invoice fee of $15.00 does apply if we are to invoice. Participants that pay separately will have to pay full price. • Adults and supervisors are responsible for the children's behavior. We require an active supervising ratio of at least 1:1O adults to students. These adults need to be at least actively supervising from the ground. Extra teachers and adults participating are charged at student prices. • Special Needs: Special needs students must be actively supervised and have an adult climbing with them. We provide free entry for the supervising adult. Groups: To qualify as a group booking, there must be 15 or more paying participants and bookings must be during the week day - Monday to Friday. Membership passes, specials, vouchers or promotional coupons etc. cannot be redeemed during an Education booking.
